GreenCert
Digital organic farm records and audit workflow allows producers to log inputs and yields while certification bodies schedule inspections and track non-conformities to closure. This creates a single, auditable record that serves both the farm's operational needs and the inspector's compliance requirements.
The problem
Certification bodies and organic producers across the EU face a persistent challenge: farm records, inspection findings, and audit trails are scattered across paper and unlinked spreadsheets. Inspectors struggle to decode the records they receive on site, leading to confusion and incomplete documentation. Organic producers grew by 72% between 2014 and 2023, increasing the volume of operators certification bodies must manage. Regulation 2018/848, in force since 2022, introduced strict record-keeping rules that force certification bodies to revisit their compliance tracking procedures. When a failed inspection reveals gaps in the current system, certification bodies urgently seek better control methods.
The product
GreenCert is a digital platform that consolidates farm records, inspection workflows, and compliance tracking into a single auditable source of truth. Producers can log parcel details, crop types, inputs used, treatments applied, and yields harvested, attaching supporting documents for each activity. Certification body staff get a unified dashboard to view and manage all their client operators, schedule inspections, and complete standardized checklists on site with photographic evidence. Any inspection findings are logged with severity levels, and corrective actions are assigned with due dates and tracked to closure. For group certification, users can maintain a complete roster of members and run internal control system checks across the group. The system generates organic certificates automatically, sends renewal reminders before expiry, and maintains a complete history of certificate status changes.
What it does
Farm records
Producers can record parcel details, crop types, inputs used, treatments applied, yields harvested, and purchases made, with the ability to attach supporting documents for each activity.
Inspection & audit workflow
The audit module enables scheduling inspections, completing standardized checklists, capturing photographic evidence on site, and generating inspection reports automatically.
Non-conformity tracking
Any findings from an inspection are logged with severity levels, corrective actions are assigned with due dates, and closure workflows ensure follow-up is tracked.
Certifier portal
Certification body staff get a unified dashboard to view and manage all their client operators, reducing manual coordination and keeping inspection schedules visible.
Parcel map
Farm boundaries are displayed on a map and can be imported directly from the parcel data the client supplies, allowing inspectors and auditors to locate evidence and map treatments geographically.
Certificates & renewals
The system generates organic certificates, sends automatic renewal reminders before expiry, and maintains a complete history of certificate status changes.
Problems it solves
- Paper or spreadsheet farm records that inspectors struggle to decode on site and in the office.
- Inspection findings scattered across emails and documents, making it difficult to track corrective action deadlines and closure status.
- Manual tracking of certificate renewals and expiry dates, leading to missed renewal windows and audit lapses.
- Group certification records spanning many members become unwieldy on paper or in unlinked spreadsheets, complicating internal control system audits.
Standards it follows
- Reg. (EU) 2018/848 organic production and labelling is the primary regulatory framework governing organic certification in the EU.
