FarmGate
A direct-ordering platform where growers and producer groups sell to hotels, restaurants, caterers and grocers with standing orders, graded lots and traceable delivery paperwork. Buyers place orders, growers confirm availability and delivery logistics, and the system tracks lot records for food-safety audits.
The problem
Purchasing teams at hotels, restaurants, catering companies and grocers today rely on phone calls, WhatsApp messages and email to source fresh produce from growers. This approach leaves no order history or agreed price record, making disputes over quality or delivery terms both frequent and costly. When food-safety audits demand lot-level traceability linking each delivery back to its supplier, these manual systems and spreadsheets struggle to maintain accurate records at any scale. For growers and producer groups who want to reach commercial buyers, the lack of a professional online presence and the burden of manually quoting prices for each enquiry makes them appear less established. These gaps erode trust between suppliers and buyers, and create compliance risk.
The product
FarmGate is a direct-ordering platform where growers and producer groups list seasonal products with photographs and grade classes, and buyers search, build baskets and place orders through a professional buyer portal. The system manages standing orders that recur on buyer-defined schedules, supports grower submission deadlines for logistics planning, and generates a regional price board from platform orders and listings so buyers understand market value. When orders are confirmed, the platform hands off delivery logistics to carrier APIs, generates delivery notes and invoices with food-safety lot records that link supplier to buyer. These lot identifiers support the one-step-back and one-step-forward traceability required by food-safety regulations. Growers can accept orders and list products offline through a mobile app, and all orders flow into the buyer's accounting system through e-invoice export.
What it does
Grower/supplier onboarding
The system captures company and holding details, stores uploaded documents (certificates, licences) and routes them to buyer-side approval workflows.
Listings & grading
Growers list products with seasonal availability, quantity tiers, configurable grade classes per product and photographs.
Buyer portal & ordering
Buyers search the catalogue, build a basket, confirm orders, select delivery windows and review their order history.
Standing orders
Standing orders recur weekly with buyer-defined substitution rules and supplier cut-off times to accommodate logistics.
Price board
The system builds a regional price and volume board from the platform's own listings and orders only — no external price feed is in scope.
Logistics hand-off
Carrier and cold-chain partners are booked through their APIs (or via export for manual booking) and delivery notes are generated.
Problems it solves
- Purchasing by phone, WhatsApp or email leaves no order history and no price record.
- When growers and buyers disagree on product quality or grade at delivery, the disputes are costly and erode trust, especially without documented standards or photos from the supplier.
- Food-safety audits require documented lot traceability to link each delivery back to its supplier and forward to the buyer, a record that manual systems and spreadsheets struggle to maintain accurately and at scale.
- Most growers and producer groups lack a professional online presence for selling to commercial buyers, and manually quoting prices for each enquiry is time-consuming and makes them look less established.
Standards it follows
- Food traceability compliance follows Regulation (EC) 178/2002 Article 18, which requires supplier and customer records.
- E-invoicing compliance follows the ViDA directive and EN 16931 standard.
